Privacy notice

Who we are

Ringly is run by Colm Aherne and Joey Sharkey, Cork, Ireland. We are the data controller for the personal data described here. You can contact us about privacy atcolm@ringly.ie.

What we collect and why

When you contact us (by our website form, email or phone) we collect what you give us: usually your name, business name, email address, phone number, website and message. We use it to reply to you and, if you ask us to, to prepare a website check or a proposal. Our legal basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries.

Business outreach. We research local businesses that may benefit from our services, using publicly available information such as business listings and company websites. We record business details (business name, website, business phone number and business email address) and a short assessment of the business’s website. We may email a business once with a relevant suggestion, followed by up to two short follow-ups. Our legal basis is our legitimate interest in offering relevant services to businesses. Every email explains how to opt out, and if you reply "no thanks" or ask us to stop, we will not contact you again.

Our website does not use cookies, analytics or tracking of any kind (see our cookie notice). Our hosting provider keeps standard technical logs (such as IP address and browser type) to keep the site secure and working.

Who we share it with

We do not sell personal data. We use a small number of service providers who process data on our behalf, under contract:

  • Netlify, which hosts this website and receives contact form submissions (Netlify checks submissions for spam using Akismet);
  • Google Workspace, for email;
  • Supabase, the database where we keep enquiry and outreach records.

The AI that assesses websites and sorts email replies runs on our own computer, so that data is not sent to an outside AI provider. Some providers may process data outside the European Economic Area; where they do, they rely on safeguards approved under EU law, such as the European Commission’s Standard Contractual Clauses.

How long we keep it

  • Enquiries and proposals: up to 24 months after our last contact, unless you become a client.
  • Client records: for as long as we work together, and afterwards for as long as the law requires for tax and accounting.
  • Outreach records: until you ask us to stop, or 24 months after our last contact, whichever is sooner.
  • If you opt out, we keep a minimal record of your business email address so that we never contact you again.

Your rights

You have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it (including any outreach, at any time), and to receive a copy of it. To use any of these rights, contact us at colm@ringly.ie. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Data Protection Commission at dataprotection.ie. We’d appreciate the chance to sort it out first.

Changes

We will update this notice if how we use personal data changes. The date at the top shows when it was last updated. See also our terms of use.
